Why it exists

A chat website can answer a question. Your business still lives on your Mac: the inbox, the calendar, the files, and the bills. Ruby AI exists to work there. It watches the morning, drafts the next step, and answers from what you saved. Your iPhone, iPad, browser, and a second Mac reach that same Mac. You approve anything that sends, files, or spends.

The inbox is only one desk. The same Mac holds the people, the money, the files, the messages, the videos, the sites, and the machines you look after.

Overview

This morning, before you open a chat

Command Center is the board: weather, mail that needs a follow-up, renewals, backup health, and how hard the Mac is working. Finish a card, snooze it, remind yourself, or escalate it. Action Center is the one list still open, split into today, overdue, waiting, and upcoming. A morning brief still arrives when Ruby AI is quit, including mail that is safe to clear. A serious alert on the Mac can show up on the phone. The day is also written down as a report you can keep.

Mail, handled

Mail Check lists, reads, marks done, archives, trashes, and moves. A reply draft arrives in your tone, and it sits there until you approve the send. Unsubscribe runs when a real link is present. Each row carries a risk mark and sender checks, and a link or attachment pauses before it opens.

Messages, notes, and calls

Messages Check shows recent texts, Notes, and call history from the Mac. A new note or a new message waits for your approval before it exists.

The week, and the year

Schedule puts calendar events and reminders in one list for today, tomorrow, and this week. Calendar Check can create, edit, reschedule, duplicate, or delete an event after you approve it. Reminders Check shows today, overdue, and upcoming, and you can mark one done. Renewals Check keeps a year of dates you saved, in 30, 60, and 90 day groups, and the ones due soon land on the morning board.

One person, fully in view

Dossier Check opens one person’s saved facts, files, and related work, then jumps to that person’s renewals, money, and files already filtered. Saved Info is the catalog of facts you taught Ruby, and a change waits until you approve it. You can also change a saved fact by saying so in chat. Recall Check browses what Ruby remembers across chats, and you can add or clear a memory without opening a thread. Ask for a person, a renewal, a site, or a vendor you already saved, and the answer comes straight from that catalog. Open the People page

Money you can see, and cannot spend by accident

Money Check reads money in and out from finance mail. Bills Check shows what is due, overdue, and paid. Cash Check takes the balances, income, and expenses you type, then estimates how many months the cash lasts. Stripe reads paid charges and invoices from a restricted key that stays on the Mac. Bank balances can come from mail alerts, or from one bank link you choose. The phone can read them. Spending still waits for you. Open the Money page

Files, from a page in your hand to a file you can use

Files Check browses the folders you allowed. Open several folders at once, pin the ones you return to, and switch between a list and a grid. Search this folder, or this folder plus the folders inside it. Preview a file, open it in a large viewer, or play audio and video on the Mac. Edit a text or code file in place, with line numbers and color for the code.

On the iPhone or iPad, Scan Document uses the camera, reads the page on the Mac, and puts the words in your draft. Scan to Folder turns those pages into a PDF in the folder you are browsing. Sketch is the sketch pad: draw with Apple Pencil or a finger, and Sketch to Folder saves the drawing there. Take a photo, or choose one you already have. On the Mac, Import Photo can pull a picture from a nearby iPhone. In the browser, Upload puts a file in that same folder. Each of those waits until you approve it.

Summarize it in chat. Include a file or a folder in chat so a later question can use it. If two files match, Ruby asks which one. Export as PDF. PDF Tools rotate, compress, pull pages out, reorder them, merge PDFs, and add a text layer the Mac can read. Make a new folder. Zip and unzip. Copy, rename one file or a batch, and move files into another allowed folder. Trash goes to the Mac trash, or to Temporary Trash when the drive has none, and you can restore from there.

Link a file to someone’s dossier, or jump straight to that person’s folder. File a document into their folder, including a subfolder you pick at the time. In chat, a reply can become a memo, a spreadsheet, or a Gantt chart. Canvas drafts a page or some code beside the chat. The phone, iPad, browser, and a second Mac can open, download, share, or copy that draft. Open the Files page

Watch, draft, and picture

YouTube Check puts your subscription feed in one panel. Pick a video and get a summary from the captions. Social Post Drafts writes a post for LinkedIn, X, Facebook, or a plain note. You edit, copy, and save it. Ruby does not post it. Create Image makes a picture on the Mac from a prompt. Understand Image takes a photo you attach and says what is in it. Photos can find receipts from this week, or pictures near a saved place, while the Photos app stays quit.

The sites and the machines

Website Watch covers WordPress sites: updates, SSL, and uptime. An update installs only after you confirm. IT Check is the Status Board for the hosts you watch: a security scan, an edge firewall, and remote access. The phone can read that status. Tailscale shows which machines can reach each other. A rule change is a diff you review, and the keys stay on the Mac. Open the Machines page

Ask, and get the kind of answer the question deserves

Drive time to a saved place or the next meeting, from Apple Maps, with the Maps app left quit. A street address in chat, mail, or a text becomes a map you open only if you tap. Ask for an arrival time and the open phone supplies the starting city. Define a word from the Mac’s dictionaries. Study Session quizzes you, then explains the answer you tapped. Search past chats and Ruby cites a few threads where you already decided. Web search can be off, automatic, or limited to your saved info, and the reply can say whether it used the web, the cloud, or your saved info. Hey Ruby is the wake phrase on the Mac, with dictation and read-aloud. A global hotkey opens a small capture window from any app. Ruby picks a local model for the kind of question, and you can pin one.

The same assistant on every screen you already carry

iPhone, iPad, a browser on a computer you paired, and a second Mac all use the first Mac. That Mac stays the one that holds the work. A short on-device reply can run on the phone without opening the Mac’s mail, files, or saved info. The full desks stay on the Mac.

You keep the risky step

Sends, filed mail, saved edits, calendar writes, and bulk clears wait. Scripts run only if you allowed them. Answers start on the Mac. Cloud help is a switch you hold: the key, when it runs, and which topics stay blocked.

What you need

The Mac that holds the work

  • An Apple silicon Mac.
  • At least 32 GB of unified memory for the recommended chat models.
  • 48 GB if that Mac also makes pictures.
  • Pictures are a one-time download of about 16 GB on that Mac.
  • The large chat models are about 19 to 21 GB each on disk. Only one stays loaded.

The other screens

  • iPhone, iPad, a browser, and a second Mac connect to that Mac.
  • They do not store the models.
